What You Will Do

You will be the first point of contact, creating a welcoming environment while efficiently managing front desk operations, visitor interactions, and daily office coordination.Your responsibilities will include:Front Desk & Visitor Operations: You will consistently demonstrate and uphold the firm’s customer service practices, ensuring a positive experience for all visitors and internal stakeholders; you will proactively identify and resolves service issues by coordinating with relevant teams, addressing root causes, and implementing sustainable improvements; you will provide guidance and support to colleagues to maintain high service standards at the front desk.Meeting Room Coordination & Support: you will manages meeting room scheduling and coordination processes with minimal supervision, ensuring smooth daily operations; you will prepare meeting rooms, including layout, VC (Zoom) setup, and catering coordination, ensuring readiness and quality delivery; you will monitor room utilization and proactively identify opportunities to improve efficiency and service quality.Front Desk Related Workplace Operations & Facilities: you will support part of the facility operations by coordinating with vendors and internal teams to ensure quick fix for workplace readiness; you will maintain accurate records of office assets (mailboxes, lockers, IT accessories) and ensure proper allocation based on business needs; you will place orders for office supplies such as stationery and process monthly billing verification; you will coordinate emergency responses and support the resolution of operational issues by collaborating with relevant teams.Your work will help create a positive and professional first impression of the firm while enabling smooth day‑to‑day office operations and an exceptional experience for colleagues, clients, and guests.You will be based in Shanghai as part of our Office Services team. This team ensures the office runs efficiently and delivers a high‑quality workplace experience by integrating hospitality, operations, and service excellence to support our colleagues and client interactions.

Your Background

  • Bachelor’s degree or equivalent work experience required
  • 2+ years of corporate and/or professional services experience are preferred
  • Outstanding organizational skills; detail-oriented; able to prioritize and multitask; strong ownership evident through responsibility and accountability for the end product; highly proactive mindset
  • Highly professional presence on telephone, email, and all other work-related communications platforms
  • Strong typing and proofreading skills; ability to produce documents quickly and accurately
  • Strong technical skills, including proficiency in Outlook, PowerPoint, Word, and Excel
  • Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks; ability to work independently
  • Able to work efficiently and effectively in a fast-paced, deadline-driven environment
  • Ability to work in-person
  • Ability to operate office equipment and handle transportation of materials or objects, when required
