Job Overview

We are seeking an organised and professional Secretary to provide administrative and clerical support to management and the wider team. The role requires excellent communication, document management, scheduling, and coordination skills, with a high level of accuracy, confidentiality, and attention to detail.

Key Responsibilities

  • Provide day-to-day administrative and secretarial support to management and assigned departments.

  • Manage diaries, schedule meetings, coordinate appointments, and arrange travel and accommodation when required.

  • Prepare, format, proofread, and distribute correspondence, reports, presentations, minutes, and other business documents.

  • Receive and respond to telephone calls, emails, and visitors in a professional and timely manner.

  • Maintain accurate electronic and physical filing systems, records, registers, and confidential documents.

  • Record meeting minutes, track action points, and follow up with relevant team members to support timely completion.

  • Coordinate internal and external communications with clients, suppliers, visitors, and other stakeholders.

  • Monitor office supplies, stationery, and administrative requirements, and coordinate replenishment where necessary.

  • Assist with preparing purchase requests, invoices, expense claims, and other administrative documentation.

  • Support the preparation of reports, presentations, schedules, and management information.

  • Maintain confidentiality of company, employee, customer, and commercially sensitive information.

  • Perform other administrative duties and support departmental activities as required.

Qualifications and Experience

  • Diploma or degree in Business Administration, Secretarial Studies, Office Management, or a related discipline.

  • Previous experience as a Secretary, Personal Assistant, Administrative Assistant, Office Administrator, or in a similar administrative role.

  • Strong proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

  • Excellent written and spoken English communication skills.

  • Strong organisational, time management, document control, and record-keeping skills.

  • Ability to manage multiple tasks, prioritise work, and meet deadlines with minimal supervision.

  • Professional telephone manner and confident interpersonal skills.

  • High level of accuracy, discretion, confidentiality, and attention to detail.

  • Ability to work effectively with management, colleagues, customers, suppliers, and other stakeholders.
